Winterville First Baptist Church is seeking a part-time Administrative Assistant.

Summary
Partner with the church staff and membership to reach families and revive relationships by performing the weekly duties of a part-time Administrative Assistant. This position has the potential to grow into a full-time role based on the candidate’s qualifications and skillset. 

Qualifications

  • Must possess and exemplify a clear testimony of faith in Jesus Christ.
  • Must agree with the statement of faith and doctrinal beliefs of the Southern Baptist Convention, The Georgia Baptist Convention, and the Sarepta Baptist Association.
  • Must possess a welcoming and friendly spirit that exemplifies Christ.
  • A college degree is preferred but not required.
  • At least 2 years of experience in office administration.
  • Proficient in MS Office (Word, Publisher, Excel, PowerPoint, Outlook).
  • Experience with church management systems.
  • Skills in graphic design is preferred.
  • Proficient written and oral communication skills.

Essential Duties and Responsibilities

Responsible for:

Daily

  • Serving as the weekly receptionist. Answering calls, greet office guests, taking messages, etc.
  • Check the mail.
  • Maintain the church calendar, updating times and events as needed.
  • Maintain church database directory with updates and membership changes.

Weekly

  • Prepare announcement slides weekly.
  • Communicate announcements for social media.
  • Prepare weekly prayer sheet, report surgeries, admissions into the hospital, etc. as information is received.
  • Proof sermons and bible study outlines.
  • Prepare digital worship guide and/or print worship guides.
  • Prepare visitor letters and other correspondence for the Pastor.
  • Notify custodial staff of upcoming events/facility use.
  • Provide keys and obtain deposits for building reservations.
  • Check weekly giving report for memorials and honorariums given.
    • Send acknowledgements of memorials/honorariums to non-church members.
    • Compile a list including addresses for church members for memorials.

Monthly

  • Coordinate with Staff to order office supplies.
  • Coordinate with Staff to order kitchen supplies.
  • Prepare birthday cards for teachers and committee members.
  • Communicate with ministry leaders to obtain information about events and activities.
  • Refill offering envelopes in pews.
  • Keep Servants of the Church brochure stocked in Welcome Center.
  • Send reminder e-mails to committee members regarding meetings.

Bi-Monthly

  • Prepare printed newsletter, church calendar, birthday list and memorials/honorariums list for mailing.
  • Prepare newsletter for emailing to church family.
  • Take newsletters to Welcome Center.

Quarterly

  • Collect and enter Sunday School attendance.
  • Prepare agenda and prepare packet of reports for Church Conference. Place copy in binder.
  • Compile Sunday School curriculum needs from teachers.
  • Order Sunday School materials.
  • Label materials for classes and deliver to classrooms.

Annually

  • Prepare Annual Church Profile
  • Process background checks (as needed)
  • Prepare Deacon ballots.
  • Update Servants of the Church, Deacon list, and other documents.
  • Update Church Budget Worksheet in the areas of office supplies, paper, postage, etc.

As Needed

  • Prepare flyers/tickets/etc. as needed for Church events.
  • Prepare special bulletins as needed throughout the year.
  • Prepare and print forms as needed for the functions of the church or ministry staff.
  • Coordinate information regarding funerals, baptisms, weddings, baby dedications throughout the year.
  • Provide forms for guests to reserve buildings, place events on the calendar, apply for preschool, etc.
  • Provide keys and obtain deposits for building reservations.
  • Prepare sign-up sheets, tickets, flyers, and other materials for church ministries.
  • Reserve the van and bus and provide keys as needed.

Financial Duties

  • Assemble purchase orders for accountant, assigning or verifying correct account codes.
  • Record auto-draft payments and report to accountant monthly.
  • Obtain signatures for POS and Checks weekly.
  • Prepare and deliver mid-week bank deposits as needed.
  • Prepare processed checks and paystubs for mailing.
  • File purchase orders and statements for Church and Preschool.
  • Pick-up bank bags or arrange for Church Treasurer to pick up.
  • Assemble business card statements for Ministry and Preschool staff.
  • Submit timecards and payroll changes to accountant for processing (Church and Preschool).
  • Submit new hire paperwork or changes in employee information to accountant.
  • Correspond with accountant regarding questions from membership and Ministry staff.
  • Communicate contract updates with appropriate Ministry staff or committee chair.
  • Carefully check expense detail report monthly for keying or account assignment errors.
  • Update church budget worksheet for contract accounts or utilities billing to ensure accurate figures are entered.
  • Provide I-9 form for guest musicians, etc. to submit to accountant.
  • Order church offering envelopes as needed.
  • Oversee volunteer to re-stock offering envelopes and special offering envelopes as needed.
  • Mail W-2s and Giving Statements that are not picked up (End of Year)
  • Place Church paid purchase orders/statements in a file box in the attic (End of Year).
  • Place preschool files in file box in the attic (end of school year – July-June).
